Value the time saved
Documents per month times 12 gives annual volume. Multiply by minutes saved per document, divide by 60 to get hours, then multiply by your loaded hourly cost. That is the annual value of recovered staff time.
Add the fees avoided
Take the per-document fee you pay today minus any per-document fee on the new tool, multiplied by annual volume. Add the difference between your current and new annual license. Together that is the fees-and-license saving.
Subtract the new tool’s cost
Net annual ROI is time savings plus fees avoided, with the new tool’s annual license already netted into step 2. A positive figure means the automation pays for itself within the year.
